show question

I have a question for those of you who belong to clubs that put on shows. Do you charge everyone, just viewers or no one to enter? If you charge, does one price pay for all days or is each day a separate charge? Our club show is this coming weekend and we do not charge anyone. We count on food sales and donations to cover the approx. $800.00 cost. It has worked so far and no members are stuck selling tickets and working the gate (by the way we don't have a fence to have a gate in). It is not a large show (about 100 tractors and 40 or so old trucks) but a lot of fun anyway. We have no steam machines but have done ok without. Every thing is privately owned so the club owns nothing. There is oat thrashing, saw milling, feed grinding and corn husking by old machines. Every one eats well and has a good time. I belong to another club that owns their own show grounds with many building and much equipment and charges viewers but no one who displays. One button pays for all three days. They too sell lots of food.

We have a small club in Southern Oregon. We never have charged admission. We tried it one year, $2 per car load. People would drive 30 miles from the nearest town (about 30,000) find out we had an admission, turn around and leave.

What we do is put out old milk cans with a sign taped on them reading DONATIONS KEEP OUR CLUB RUNNING PLEASE GIVE WHAT YOU CAN. We have found $20 bills and checks for up to $100 in the cans. Granted the large donations are few but if you charge that same person $2 to get in the gate then the donation probably wouldn't be in the can.

We also do pretty well in the food booth. Thanks to the women that put this on.

Thanks for all the comments. We have no interest in charging admission nor charging for parking since it is mostly on public property. With our small budget and no club owned equipment we get along ok with the free system. Your comments were all good if we wanted to charge, but for now anyway we will stay FREE.

With no fences to have an entrance gate if you want to charge, an inexpensive wristband using different colors for separate days will let anyone at a glance know if someone has not paid. You could remind them about the admission fee when they buy food or stop to see any vender. Parking might be the best option. so much a person or a deal by the carload and one or two people to man the booth at the road doesn't seem like a problem. I wouldn't charge say one person from each party that is showing a tractor either. Two tractors gets a husband and wife in too. At our state fair everyone pays at the gate, including vendors. When my dad performed there some years ago he had to buy a ticket to get in like everybody else. I don't mind paying a little to attend a show as long as it is reasonable. We spend $1 for a bottle of water or air at the service station. 1 or 2 dollars to see a show doesn't seem unreasonable. Otherwise I have no problem walking away either.

We charge a daily admission charge, but members and exhibitors do not pay. The cost to own, maintain and insure our property is overwhelming. Our budget this year is nearly $200,000 and a lot of that is generated by memberships, event activities and donations by many business partners. One thing about our show, you pay $5 but once on the grounds everything except food and souveneers is included, and we have stage show entertainment, a pretty big tractor pull everyday and so on. Check out our web page.

I think it is fair to charge a fee for people to visit shows. Since you don't have a fence, why don't you charge a couple bucks for parking? (It does gripe me when I go to shows that charge both parking and admission fees. Do one or the other!)

Lew, I think the 3 previous replies hit the nail right on the head. We do our shows using pretty much the same formulas as mentioned.
