Theft of merchandise in shipment happens more than one wants to consider. Their are very common practices followed to protect all parties when trip leasing a load. These practices are often over looked by one time sellers and part time haulers because it questions your honesty and they just do not know how to do it and protect themselves.
As the buyer your job is to contract with a bonded; insured and DOT licensed broker. In your case you are acting as the broker so you need to take on his job. This is sometimes done to save cost but opens up your question and concerns and really opens the question who's authority you are hauling under since you are not DOT licensed.

Things you should do in your case.
Contact your hauler and ask for a copy of his truck and cargo insurance. Call his insurance agent and check coverage's out. He NEEDS cargo insurance because truck insurance will NOT cover your tractor in a accident.
You will want a copy of the drivers license and truck/trailer registration. This will give you info on both driver and truck owner. Ask about payment arrangements. It is common to pay 50% on pickup but not all ways asked for.
When driver arrives for pickup. Have the seller call you and verify that the copy you have of the drivers license and truck registration match the driver and truck picking up the load. Have the seller fill out a bill of lading(available at any truck stop) noting any info needed and noting the condition of the tractor. This is where detailed pictures are good should any discrepancies come up. The trucker should really insist on this to protect him self also. Have the driver sign the bill of lading and have seller fax/mail you a copy and give a copy to the driver. When he arrives you will sign his copy agreeing on receiving in said condition thus freeing him. If it does not arrive then you have a the copy of BOL the seller sent you where he picked up said tractor and you would just report stolen and contact his insurance company for payment.
